Gujarati Samaj Dresden is an informal community group in Dresden, Germany. This page explains what we do with your details when you register for an event, give feedback, write to us, or read the site.

When you register for an event

We store your name, your email address, the names you give for any student tickets, what you booked, and whether it is paid. We note when you arrive at the door so we can tick you off the list.

We need this to hold your spot, send you the payment details and your ticket, and let you in on the night. Without a name and an email we cannot confirm a booking.

When you pay

Payments are made through PayPal. When one arrives we record the name, email address and reference that PayPal shows us so we can match it to your booking. The payment itself is handled by PayPal under their own privacy terms.

When you give feedback

After an event we may ask how it went. The feedback form stores your name, your email address and your answers: your ratings, your comments, whether you were a student and what you studied, and what you would pay next time. We only store them once you tick the privacy box at the end of the form.

Only the organising team reads them, to plan the next events. We do not publish your answers with your name, and filling in the form does not put you on any mailing list. You can withdraw your consent at any time, and we will delete your answers.

When you write to us

The contact form sends us your name, email address and message. We use them to reply and nothing else.

When you read the site

Our host keeps server logs, including IP addresses, for security and troubleshooting. We also see which pages get read and how fast they load. None of that sets a cookie or builds a profile of you.

Cookies

• lang remembers whether you want the site in English or German. It lasts a year.
• cc_cookie remembers your choice in the cookie banner.

We set no advertising or tracking cookies. You can delete both in your browser settings.

Who else sees your details

We use outside services to host the site and its database, to send our emails, and to receive messages from the contact form. They only ever see what they need to do that job. We do not sell your details and we do not pass them to anyone for advertising.

How long we keep it

We keep your name, email address and booking details after the event. We use them to recognise you when you book again and to tell you about the next gathering. Payment records stay for as long as we need them to keep the books straight.

Ask us to remove your details and we will. You can also tell us at any time that you no longer want event emails, and we will stop.

Your rights

Under the GDPR you can ask us for a copy of what we hold about you, ask us to correct it, ask us to delete it, ask us to restrict what we do with it, or object to us using it. Write to hello@gujaratisamajdresden.org and we will answer.

We handle registration details because you asked us to book you a place (Art. 6(1)(b) GDPR) and because running the events and inviting people back is our legitimate interest (Art. 6(1)(f) GDPR). We store feedback because you agreed to it on the form (Art. 6(1)(a) GDPR).

If you think we are getting this wrong, you can complain to the Saxon data protection authority.

Changes to this policy

If we change how any of this works we will update this page and change the date at the top.
